Proposal № 0147
Prepared for Gulf Coast Outfitters

One platform that runs the whole shop.

An ops platform built around how your crews already work — estimates, scheduling, field photos, and invoicing in one place, owned by you.

$18,500 all-in8 weeks to launchIssued Jul 8, 2026 · valid through Aug 7
01 — The problem

The business outgrew the whiteboard two seasons ago.

Gulf Coast Outfitters books more work every month, and the systems holding it together are the ones that made sense at half this size. Nothing talks to anything, so people are the glue — and the glue is tired.

4 tools
the shop runs on today

Jobs live in a whiteboard photo, estimates in spreadsheets, invoices in QuickBooks, and crew updates in three group texts.

9 hrs/wk
of owner time on retyping

Every job gets keyed in at least three times between the first call and the final invoice. That's a full workday, every week.

$8,400
in invoices that slipped last quarter

Completed jobs that never got billed, or got billed weeks late, because nothing connects the field to the office.

02 — What we'll build

Three phases, each one useful on its own.

01

Foundation

Weeks 1–3

The data spine everything else hangs on.

  • Customer + job records with full history
  • Sales pipeline from first call to booked job
  • Estimate builder loaded with your price book
  • Team accounts with owner / office / crew roles
02

Field operations

Weeks 4–6

The office and the crews finally see the same truth.

  • Crew-lane scheduling calendar with drag to reassign
  • Phone-first crew view: today's jobs + checklists
  • Photo capture on site, tied straight to the job
  • Automatic “we're on the way” customer texts
03

Money

Weeks 7–8

From job done to money in the bank, without retyping.

  • One-tap invoicing from completed jobs
  • Card + ACH payments with automatic reminders
  • Owner dashboard: revenue, margin, pipeline
  • Handoff training + recorded walkthroughs
03 — Timeline

04 — Investment

Two ways to do this.

Both are fixed-price and both end with you owning the platform outright. Pick one below — your choice carries through to the signature block.

05 — Questions we always get

You get a kickoff link within the hour. Week one is discovery on-site: we shadow the office and one crew for a day, then lock the build spec together before any code is written. Your start date is held from the moment the deposit lands.

You do — outright. The code, the data, and the accounts all live under Gulf Coast Outfitters. If we ever part ways, everything keeps running and any developer can pick it up. No license fees, no per-seat pricing, ever.

Small fixes are covered in both options. The Core + Care option exists because the best version of this platform shows up in the first 60 days of real use — crews find the rough edges and we sand them down the same week.

06 — Sign & pay

Ready when you are .

Signing selects Core + Care, books your Jul 20 start date, and collects the $4,625 deposit.

Deposit applies to the project total. Working demo — no card is charged.
